Employees can use this calculator to verify time card hours and pay totals on paychecks. Payroll administrators can calculate employee hours worked or double-check ongoing accuracy of their payroll systems.
Using the Time Card Calculator
We like to keep data entry easy for our users. So it's important to know that you don't need to enter the colon between hours and minutes in your time inputs. You'll find that time entry is faster when you can skip the colon.
So enter only numbers in the calculator, such as 1215 for the time of 12:15. No need to use ':' or '.' symbols when you enter timesheet times in and out for each day and period.
You may notice there are no am and pm symbols on the time card. The calculator knows that when your entries cross over 12:00 you're either going from am to pm, or pm to am. This calculator will work for you as long as your work shift periods are less than 12 hours.
Note that if you enter just a number from 1 through 12 the calculator assumes it's time on-the-hour, 1:00 through 12:00.
As an example, say you worked Day 1 from 8:35 to 12:37, stopped for lunch then returned to work from 1:07 to 2:45, took a break and worked again from 3:05 to 5:00. Enter times in the Day 1 row as 835, 1237, 107, 245, 305, and 500 (or just the number 5).
Custom Time Card Settings
In the Settings area you can customize your time card layout for work periods per shift, days per week, and weeks per time card. Be sure to click "Save Settings" after you make your selections. Your settings are remembered in a cookie in your browser so they are already set when you return.
Periods per day: Select 1 or up to 5 work periods. This enables you to enter clock-in and clock-out times for up to 5 work sessions per day. This is helpful if you need to account for multiple breaks in your day. Of course if your employer automatically deducts break times you can choose to enter 1 time period per day.
Days per week: Specify how many days you want to include on your time card. If you work 5 days per week, choose 5 here. This way you can include only those days where you need to calculate your hours and avoid blank lines on the time card.
Weeks per time card: You can include up to 5 weeks of time card data on the calculator.
Total time card: Specify whether you want to total your hours worked and gross pay on a weekly basis, or as a grand total.
Calculate pay: If you include a pay rate at the top of the calculator we can calculate your gross pay per week and as a grand total if you input time card info for multiple weeks.
Calculate OT: Choose whether to calculate overtime according to your employer's OT rules. Options include overtime per day, per week, or per day and week. Be sure to enter your pay rate at the top of the calculator if you want to calculate gross pay and include it in the time card report.
Round hours to: When we calculate hours as a decimal we can round to 1, 2, or 3 decimal places.
Print headings: You can choose to include up to 2 lines of text at the top of the time card. Select "Yes," save your settings, and you'll see two blank text boxes at the top of the time card. Use these lines to include name, ID number, date range, or whatever you find helpful.
